Real Estate Receptionist/Administrative Assistant

Summary

We are seeking a Receptionist/Administrative Assistant to join our team at The Rants Group. This role is vital for ensuring smooth operations within our office and providing excellent customer service to our clients. You will be the first point of contact for visitors and clients, making your contribution essential to our company.

Primary responsibilities include answering phones and directing calls, greeting clients, preparing and sending notices/documents, and processing invoices. This position reports to the Office Manager.

Job Type: Full-time
Pay: $44,000.00 – $48,000.00 per year
Ability to Commute: Olympia, WA 98501 (Required)
Work Location: In person
Hours: 8:00 AM – 5:00 PM, Monday – Friday

Specific duties include but are not limited to:

  • Answering phones and greeting walk-ins.
  • Keeping sales/ leasing files up to date.
  • Scanning and processing invoices.
  • Preparing and sending notices/documents.
  • Producing monthly office calendar.
  • Managing breakroom, workroom, and office supplies.
  • Manage lockboxes for properties.
  • Sort, distribute, and process mail
  • Assist in coordinating in-office events.
  • Maintain real estate transaction log.
  • Perform other duties as assigned.

Qualifications & Skills:

  • Minimum 2 years working in an office setting.
  • Self-motivated with strong multi-tasking and time management abilities.
  • Experience in the real estate industry is a plus.
  • Strong Customer Service abilities.
  • Highly organized and detail-oriented.
  • Professional and personable demeanor.
  • In-depth knowledge of the local area.
  • Effective communicator with visitors, staff, vendors, property owners, and tenants.
  • Proficient in Microsoft Office.
  • Ability to learn new software programs (experience with AppFolio preferred).
  • Strong mathematical skills.
  • Ability to maintain confidentiality under appropriate circumstances.
  • Willingness to take on expanded duties as business knowledge increases and interests become focused; ability to work beyond the job description.
